STANDARD OPERATING PROCEDURES (SOP)

Benefit Pass Programme

  1. Purpose of this Document

This document establishes the Standard Operating Procedures (SOP) of the Benefit Pass Programme to ensure a consistent level of service quality, business transparency, user protection, and coordinated operation among all parties involved.

Benefit Pass operates in accordance with the principles of legality, professionalism, accountability, security, and continuous improvement of the customer experience.

  1. Scope

These procedures apply to:

  • the Benefit Pass platform;
  • all Benefit Pass users;
  • all contractual partners;
  • Benefit Pass employees and authorised representatives;
  • digital communication channels; and
  • all procedures relating to the purchase, activation, and use of the Benefit Pass.
  1. Core Business Principles

Benefit Pass is committed to operating in accordance with the following principles:

  • transparency in business operations;
  • equal treatment of all users;
  • protection of personal data;
  • compliance with contractual obligations;

  1. Standards for Partners

Each partner participating in the Benefit Pass Programme shall:

  • operate in compliance with all applicable laws and regulations;
  • provide services in accordance with applicable legislation;
  • honour all agreed discounts and benefits;
  • enable users to redeem benefits without discrimination;
  • maintain a professional standard of customer service; and
  • promptly notify Benefit Pass of any significant changes affecting their business operations.

 

 

  1. Information Management

Benefit Pass strives to ensure that all information published on the platform is:

  • accurate;
  • up to date;
  • clear and easy to understand; and
  • readily accessible to users.

Should any partner information change, the partner is required to notify Benefit Pass without undue delay.

Benefit Pass will update the published information as soon as reasonably practicable.

  1. Benefits Management

All benefits published on the platform are based on contractual agreements between Benefit Pass and its partners.

Each published benefit shall clearly specify:

  • the exact benefit offered;
  • any applicable conditions of use;
  • the validity period; and
  • any restrictions or limitations.

Each partner is responsible for the correct implementation of the agreed benefits.

  1. Benefit Redemption Procedure

Users may redeem a benefit by:

  1. purchasing a valid Benefit Pass;
  2. activating the Benefit Pass;
  3. presenting their digital Benefit Pass to the participating partner; and
  4. having its validity confirmed by the partner.

A partner may refuse to provide the benefit only if:

  • the Benefit Pass is not valid;
  • the requested benefit does not apply to the selected service; or
  • the user does not meet the applicable conditions.
  1. Customer Support

Benefit Pass provides customer support through its official communication channels.

Every enquiry will be handled as promptly as possible.

All customer enquiries and requests are recorded for the purpose of improving service quality.

  1. Complaints

Benefit Pass users may submit complaints regarding:

  • the use of the Benefit Pass;
  • the conduct or performance of a partner;
  • technical issues; or
  • incorrect information published on the platform.

Each complaint is assessed individually.

Benefit Pass will endeavour to reach a fair and objective resolution in cooperation with the relevant partner.

Benefit Pass processes personal data in accordance with applicable legislation and the General Data Protection Regulation (GDPR).

Only the personal data necessary for the operation of the Programme are collected.

Personal data are used solely for the purposes for which they were collected.

  • maintain the availability and reliability of the platform.
